Hey,
I would like a little help. Ours is a 15 employee travel company. Every day we’ll have to communicate with almost hundred customers and potential customers. Email is our primary method of communication and we are sending and receiving a lot of emails every day.
Our business thrives on the relationship we maintain with our customers, even after the sale has been made. This relationship is mostly by phone and emails. So old emails have a lot of importance in running the business.
There were instances where losing old emails causing us trouble. With current set up of web mail and individual PC storage, it’s easy to lose track of the emails when hundreds of mails clutter up in every PC. I am looking for an email archive solution to archive old emails of every employee, but easily retrievable whenever a need arises.
I know there are a lot of such solutions available, but I would like expert opinion from people who have actually used them. We need good security, user friendliness and other necessary features. I hope someone could give a helpful advice on this.

Hi,

in small business environments, I have used

- GFI Archiver
- MailStore
- mailarchiva

with great success. In larger environments, I have worked with Enterprise Vault, OpenText and CommVault. For 15 mailboxes, mailarchiva would even be free. All three are well-established products and should fulfill your requirements in terms of security and compliance. Usability is another story. Here you need to formulate your users' requirements and expectations as precisely as possible and then talk to the vendors about those. Typical pain points are

- Mail Client (Outlook) integration for retrieval
- Browser support in web frontends
- offline access
- search and indexing capabilities.

Thank you cj_berlin. I will check all three of them. I hope they have trial or feature restricted free version to give a try before finalizing one. And the points you have mentioned are right on target, especially the search and indexing feature. Imagine finding a email from thousands of mails without searching.

Mimecast enhanced features include archiving, online access, historical import, security and mail cleaning.

Its not cheap, but its very effective
